Privacy policy

Who we are

This policy explains how PRIMEFIX247 LTD (company no. 17339100, registered in England and Wales), "we", uses personal data in the PrimeFix247 Partner Portal at portal.primefix247.co.uk, where letting agents, property managers and other partner companies raise and follow jobs with us. We are the data controller. Questions or requests: info@primefix247.co.uk.

What we collect

• Your account: your name, email address, phone number, your company and your role in the portal.
• Properties: property addresses and access notes, and tenant or occupier names and phone numbers that you give us so we can arrange visits.
• Jobs: the jobs you raise, their descriptions and photos, approvals, quotes, invoices, payments and the messages about them.
• Payments: records of what was paid and when. Card and bank details are entered with our payment provider, Stripe, and never reach us.

How we use it, and why we may

• To provide the service your company has with us: taking and booking jobs, arranging access, sending engineers, quoting, invoicing and taking payment (performing our contract with your company).
• To run our business and keep the portal secure, and to contact you about your jobs (our legitimate interests).
• To keep accounting and tax records (our legal obligations).

We don't sell personal data, and we don't use it for advertising.

Who sees it

People at your company who use the portal see your company's properties and jobs, as far as their role allows. On our side, our office staff see it, and the engineers or subcontractors on a job see what they need to do it, such as the address, access notes and the tenant's contact details. We also use service providers that process data for us, under contract:

• Hostinger: our servers, in the United Kingdom.
• Google: email (Google Workspace).
• Stripe: online card and bank payments, when we offer them.
• Twilio: text and WhatsApp messages, when we use them.

Some of these providers may process data outside the UK. Where they do, they protect it with the safeguards UK data protection law requires, such as the UK's approved contract terms.

Signing in and cookies

Portal accounts are run with Keycloak, our sign-in service at auth.primefix247.co.uk. You set your password on its own page, and it's stored there in a protected (hashed) form: we never see it. The portal uses only the cookies and browser storage needed to keep you signed in. It has no advertising or analytics cookies.

How long we keep it

• Your account: while it's in use. When your company closes it, we remove or anonymise your details, unless we need them for the records below.
• Jobs, quotes, invoices and payment records: six years, as UK tax law requires.
• Backups: for up to 14 days.

Your rights

You can ask us for a copy of your data, to correct it, to delete it, to limit or object to how we use it, and to have it in a portable form. Email info@primefix247.co.uk; we reply within one month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office (ico.org.uk).

Changes

If we change this policy, we'll update this page and the date at the top.
